Privacy Policy

This policy explains what information AIWare Innovations receives through this website and its live AI receptionist, how that information is used, and the choices available to you.

Effective: July 24, 2026

1. Scope

This Privacy Policy applies to the AIWare Innovations website, our public AI receptionist demo, demo scheduling, and communications with prospective customers. It does not replace a separate privacy notice or service agreement that may apply when we provide a configured receptionist to a business customer.

2. Information we receive

Depending on how you interact with us, we may receive:

  • Contact and business information, including your name, email address, phone number, company name, business type, and the information you choose to provide through a demo request, intake, email, or call.
  • Appointment information, including requested dates, times, time zone, calendar availability, invitation status, and meeting details.
  • Call and communications data, including caller ID, call date, duration, routing information, call status, and the content you share during a call or message.
  • Website and technical data, such as IP address, browser or device information, security events, and server logs generated when the website is accessed.

Please do not provide Social Security numbers, payment card information, medical information, account passwords, or other sensitive information during the public demo.

3. AI call processing and recording

The receptionist identifies itself as an AI system. Call audio is transmitted and processed in real time by communications and AI service providers so the receptionist can understand the caller, respond, check permitted systems, and complete requested actions.

AIWare Innovations does not currently enable call recording for the public demo. If recording or stored transcription is introduced, we will provide notice and obtain consent when required. Providers may maintain communications metadata, security logs, or other limited information under their own terms and our service configurations.

4. How we use information

We use information to:

  • Operate, secure, troubleshoot, and improve the website and demo.
  • Answer questions and provide requested information.
  • Store and review demo requests submitted through the website.
  • Check calendar availability and schedule confirmed appointments.
  • Send calendar invitations and follow up on business inquiries.
  • Prevent fraud, abuse, misuse, and security incidents.
  • Comply with applicable law and enforce our terms.

We do not sell personal information or use it for cross-context behavioral advertising.

5. Service providers and disclosures

We use service providers to deliver the website and receptionist. These currently include OpenAI for real-time AI processing, Twilio for telephone connectivity, Google for calendar and meeting services, and hosting, security, and infrastructure providers. We may provide these companies with information needed to perform their services.

We may also disclose information when reasonably necessary to comply with law, protect rights or safety, investigate abuse, or complete a merger, financing, acquisition, or similar business transaction. We do not authorize service providers to use caller information for their own advertising on our behalf.

6. Retention

We retain information only as long as reasonably needed for the purposes described in this policy, including providing requested services, maintaining business records, resolving disputes, protecting the service, and meeting legal obligations. Calendar events, invitations, and related communications may remain in the applicable calendar or email account until they are deleted or no longer needed. Website demo requests may remain in our restricted lead inbox while we evaluate or maintain the business relationship. Service providers maintain information according to their applicable retention practices.

7. Security

We use reasonable administrative, technical, and organizational measures designed to protect information. Website demo requests are stored in platform-backed infrastructure and the lead inbox requires an approved signed-in account. No internet transmission, telephone system, or storage method can be guaranteed completely secure, so we cannot promise absolute security.

8. Your privacy choices

Depending on where you live, you may have rights to request access, correction, deletion, or a copy of certain personal information, or to object to or restrict certain processing. You may also ask us to remove a demo appointment or stop non-essential communications.

To make a request, email sean@aiwareinnovations.com. We may need to verify your identity before completing a request, and some information may be retained where permitted or required by law.

9. Children

The website and demo are intended for business users and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, please contact us so we can review and remove it as appropriate.

10. Changes to this policy

We may update this policy as our services or legal obligations change. The revised version will be posted on this page with a new effective date. Material changes will be communicated when required.
